You can chat with a single person, or a group, sending text messages or audio\/video messages. You can also share files, which are <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/file-storage-in-microsoft-teams-df5cc0a5-d1bb-414c-8870-46c6eb76686a#:~:text=Files%20you%20send%20in%20chat%20are%20stored%20in%C2%A0your%20OneDrive%20for%20Business%20and%20only%20shared%20with%20the%20people%20in%20that%20conversation.%20You%20can%20find%20them%20in%20the%C2%A0Shared%C2%A0tab%20at%20the%20top%20of%20a%20chat.\" target=\"_blank\" rel=\"noreferrer noopener\">stored<\/a> in <a href=\"https:\/\/www.licensingschool.co.uk\/licenseverse\/standalone-online-services\/onedrive\/\">OneDrive<\/a> and only shared with the people in the conversation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/presence-admins\" target=\"_blank\" rel=\"noreferrer noopener\">Presence<\/a> information is pretty important in instant messaging activities since it indicates a user\u2019s current availability and status to other users. It\u2019s generally set automatically based on a user\u2019s activity \u2013 showing, for example, when they\u2019re in a meeting or on a call. However, users can manually set their status and override the automatic settings if they want to.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There are also a couple of useful features for more structured group collaboration. A <a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/teams-channels-overview#:~:text=Teams%20are%20collections%20of%20people%2C%20content%2C%20and%20tools%20surrounding%20different%20projects%20and%20outcomes%20within%20an%20organization.\" target=\"_blank\" rel=\"noreferrer noopener\">Team<\/a> (within the Teams product) is a structured workspace for a group of people, such as a project team or department, and provides one place for related conversations, files, and meetings. A <a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/teams-channels-overview#:~:text=Channels%20are%20dedicated%20sections%20within%20a%20team%20to%20keep%20conversations%20organized%20by%20specific%20topics%2C%20projects%2C%20disciplines%E2%80%94whatever%20works%20for%20your%20team.\" target=\"_blank\" rel=\"noreferrer noopener\">Channel<\/a> is a dedicated section within a Team and acts as a \u201cchat room\u201d to keep conversations organized by specific topics. Shared files, photos, and documents in Channels <a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/teams-channels-overview#:~:text=Files%20that%20you%20share%20in%20a%20channel%20(on%20the%20Files%20tab)%20are%20stored%20in%20SharePoint\" target=\"_blank\" rel=\"noreferrer noopener\">use<\/a> storage allocation from <a href=\"https:\/\/www.licensingschool.co.uk\/licenseverse\/standalone-online-services\/sharepoint-online\">SharePoint Online<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">External collaboration<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">If you want to use Teams and collaborate with people outside or your organization then you\u2019re likely to use the External Access or Guest Access features:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/communicate-with-users-from-other-organizations#:~:text=Microsoft%20365.-,External%20access,-Set%20up%20external\" target=\"_blank\" rel=\"noreferrer noopener\">External Access<\/a> lets you find, call, and chat with people in other organizations that are using Microsoft as an <a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/trusted-organizations-external-meetings-chat?tabs=organization-settings#:~:text=Microsoft%20as%20an%20identity%20provider\" target=\"_blank\" rel=\"noreferrer noopener\">identity provider<\/a>. It\u2019s enabled by <a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/communicate-with-users-from-other-organizations#:~:text=By%20default%2C%20external%20access%20is%20enabled\" target=\"_blank\" rel=\"noreferrer noopener\">default<\/a> and means that you can search for and call people in other organizations using their email addresses, and they can do the same to you. You might have heard the term <a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/teams-security-guide#:~:text=safeguards%20for%20Teams-,Federation,-provides%20your%20organization\" target=\"_blank\" rel=\"noreferrer noopener\">Federation<\/a> \u2013 it\u2019s how the External Access feature was initially referred to<\/li>\n\n\n\n<li><a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/guest-access\" target=\"_blank\" rel=\"noreferrer noopener\">Guest Access<\/a> means that external users are added to your organization\u2019s <a href=\"https:\/\/www.licensingschool.co.uk\/licenseverse\/microsoft-entra\/microsoft-entra-id\">Entra ID<\/a> and B2B collaboration users using a <a href=\"https:\/\/learn.microsoft.com\/en-us\/microsoftteams\/guest-access#:~:text=to%20Teams%2C%20a-,guest%20account,-is%20created%20for\" target=\"_blank\" rel=\"noreferrer noopener\">Guest Account<\/a>.
